Crowd shape and density
Total attendance does not describe how people are distributed. Show standing and seated areas, barriers, front-of-stage zones and expected crowd peaks.

Live events change quickly at entry, between acts and at closing. Build the coverage brief around audience movement, event zones and a route that stays usable when the crowd is busiest.

Build the event brief
The layout, activity and operating window matter alongside the attendance estimate.
Total attendance does not describe how people are distributed. Show standing and seated areas, barriers, front-of-stage zones and expected crowd peaks.
A first-aid location needs to be identifiable and reachable. Discuss signage, radio contact, escort arrangements and access through audience areas.
Set-up access, early queues, support acts and audience departure can extend beyond the headline performance. State the coverage window you want assessed.
One illustrative event brief
This is a hypothetical planning example, not an account of a previous Red Dot First Aid project. Attendance and duration describe this brief; they do not establish a staffing standard.
Illustrative event scenario
Imagine a single-stage community performance in the evening. The audience arrives before the programme and leaves through the agreed pedestrian exits after the final act.
For this 1,500-person concert example, the plan includes four first aiders, two on-site paramedics and two ambulances arranged through a licensed partner. The first aiders cover the audience area and entry points, while the paramedics work from the medical point. Vehicle positions and access routes are planned around the audience’s arrival, the performance and the final departure.
Audience distribution, entry and departure peaks, low light and access between the audience area and the first-aid location.
Agree how stewards direct people to assistance and contact the medical team. Mark the first-aid location and keep the service lane available throughout arrival, performance and departure.
Discuss first-aid roles, escalation capability and any ambulance requirement for this event brief. A denser standing crowd, more stages, later operating hours or restricted access would need a different assessment.
Make the arrangement specific
These roles are not interchangeable. Confirm each person’s relevant qualifications, agreed duties and clinical scope with the provider. A total headcount alone does not describe the capability being supplied.
Ambulance standby is arranged through a licensed partner. Confirm the named operator, service scope, crew and whether conveyance is included. The partner confirms the full vehicle crew, including a driver and qualified clinical crew leader. Record any shared event and ambulance-crew duties so the same person is not counted twice.
Agree the event’s fallback or replacement arrangement before the day. Clarify what coverage remains, who is informed and how activities are managed while the original vehicle or crew is unavailable.
Send a useful brief
Share the information you have and identify anything still being confirmed. A site plan and programme help explain an event more clearly than an attendance number on its own.
Resource numbers, qualifications, equipment, operating hours and any partner ambulance arrangement should be assessed for the specific event and recorded in the agreed quotation.

No single attendance figure captures crowd concentration, activity, duration, environment or access. Provide the audience layout and programme alongside the expected attendance.
Agree the arrangement with event control, the venue and security. The quotation and event plan should identify the contacts and access process; do not leave it to an assumption on show day.
