A changing footprint
Delegates can be in plenary sessions, breakout rooms, queues and refreshment areas. Show where people gather and how the pattern changes through the day.
Conventions and exhibitions · Singapore
A convention’s medical coverage needs to work across its actual floor plan. Describe the meeting rooms, exhibition halls, audience movement and service access together with the programme.

Build the event brief
The layout, activity and operating window matter alongside the attendance estimate.

A loading bay is not the same as an accessible route to an upper-floor room. Confirm lifts, restricted corridors and the path between an assessment location and a vehicle.
The organiser, venue and exhibitors may control different areas. Agree who contacts the first-aid provider, grants access and coordinates an escalation.
One illustrative event brief
This is a hypothetical planning example, not an account of a previous Red Dot First Aid project. Attendance and duration describe this brief; they do not establish a staffing standard.
Illustrative event scenario
Imagine a compact, mainly seated meeting in one indoor hall. Attendees gather in the foyer at registration and during a scheduled break, then return to the same room.
For this 200-delegate meeting example, one first aider is based near the hall and foyer, with a discreet space available for assessment. No dedicated paramedic or standby ambulance is included in this particular plan. The organiser and venue agree how to request emergency assistance and keep the access route available if outside medical support is needed.
Attendee profile, break-time movement, a suitable assessment location and a clear route to assistance.
Agree a visible first-aid contact and a discreet assessment space. Confirm the venue’s escalation process and access arrangement if outside assistance is needed.
Discuss first-aid coverage without automatically adding an ambulance to this small, low-activity meeting. The final arrangement still depends on assessment and venue requirements. More floors, larger crowds, physical demonstrations or difficult access would change the plan.
Make the arrangement specific
These roles are not interchangeable. Confirm each person’s relevant qualifications, agreed duties and clinical scope with the provider. A total headcount alone does not describe the capability being supplied.
Ambulance standby is arranged through a licensed partner. Confirm the named operator, service scope, crew and whether conveyance is included. The partner confirms the full vehicle crew, including a driver and qualified clinical crew leader. Record any shared event and ambulance-crew duties so the same person is not counted twice.
Agree the event’s fallback or replacement arrangement before the day. Clarify what coverage remains, who is informed and how activities are managed while the original vehicle or crew is unavailable.
Send a useful brief
Share the information you have and identify anything still being confirmed. A site plan and programme help explain an event more clearly than an attendance number on its own.
Resource numbers, qualifications, equipment, operating hours and any partner ambulance arrangement should be assessed for the specific event and recorded in the agreed quotation.
Send your event briefBefore you enquire
No. State the periods and activities you want assessed. Public-opening hours, contractor work and overnight periods should be identified explicitly in the agreed scope.
Confirm the practical access route with the venue and provider. Lift dimensions, operating access, restrictions and the path to an assessment location or vehicle all matter.
