A better brief for
event medical coverage

Gather the details that help a service provider understand your event. This guide supports an enquiry; the coverage needed for your event still requires an appropriate assessment.

01

Describe the event and programme

Provide the event name, type of activity, date and operating hours. Include set-up and finish arrangements where they affect access or the requested coverage window.

A programme helps explain when activity or attendance may change. For a route-based event, describe the start, finish and route rather than only giving a single address.

02

Describe who will be there

State expected participant and spectator numbers, how people will be spread across the venue, and any relevant age groups. Mark estimates clearly if attendance is still being confirmed.

Explain the activity people will take part in. Avoid sending individual medical histories or patient records through a general enquiry form.

03

Map the venue and access

Share the venue address, indoor or outdoor setting and a site plan if available. Note gates, restricted access, vehicle routes and any proposed first-aid or ambulance standby locations.

Include the venue contact or access instructions when those arrangements are ready. The service provider should clarify what is needed for the agreed coverage.

04

Share the specified requirements

Your venue or event organiser may have written requirements for first aid, medical support or ambulance standby. Include them in the planning discussion rather than assuming that a general service description meets them.

Describe first-aid coverage and ambulance standby separately. If patient transport is being requested, make that explicit so the provider can explain the available scope and applicable arrangements.

05

Confirm the arrangement in writing

Before booking, review the proposed service scope, provider identity, applicable qualifications or licensing, coverage times, price and terms. Make sure inclusions and exclusions are understood.

Agree how the organiser and provider will communicate on the event day, and how changes to the event programme will be handled. An enquiry or provisional quotation is not a confirmed booking.

Useful official information

For information on private ambulance service providers and the distinction between emergency and non-emergency assistance, refer to the Ministry of Health’s private ambulance services guidance. Match the proposed service to your actual event requirements.
